Advances in computer technology offer many new opportunities but also new challenges. One of the most important challenges is tackling the problem of digital obsolescence: ensuring that the digital information we create and store today will continue to be accessible for as long as we may need it.

A complete archiving solution must retain knowledge and ensure it can be found and read when needed. A genuine archive combines tools for ingest, storage, management and access. It also includes the capability to preserve information such that it is accessible. Yet an archive is often the last part of a comprehensive data management vision to be delivered.

Swiss Federal Archives chooses Tessella’s Safety Deposit Box (SDB) for the long-term management of their digital information

Tessella is proud to announce that the Swiss Federal Archives or Schweizerisches Bundesarchiv (BAR) has accepted Tessella’s Safety Deposit Box (SDB) for the long-term management of their digital information. The project was completed successfully, on time and to budget. The system is now operational and the BAR have joined the growing Tessella SDB user group.

Dr. Krystyna Ohnesorge, BAR’s Head of the Innovation and Preservation Unit (UPI) says, “Tessella’s SDB allows easy and efficient management of ingest, storage and preservation of our digital records. This means that we can be sure that generations to come will be able to learn from these records.”

BAR began addressing the problems of Digital Archiving in 2005 with the development of the ARELDA project: the aim of which is to allow all of the Swiss federal agencies to submit records in a uniform way. After looking at various solutions, BAR selected Tessella’s SDB in 2007. A requirement study and an integration plan were developed in autumn ’07 to allow the system to work with the requirements of ARELDA and their workflows. The system is fully OAIS compliant and contains Tessella’s world leading active preservation model.

Who has not been frustrated when using their favorite search engine only to discover that many of the results are simply not relevant? This is the challenge that Brandy King and Kathy Reinold explore in the book “Finding the Concept, Not just the Word”.

This cross disciplinary team, Brandy is a librarian and Kathy is a software consultant at Tessella, have produced an accessible example-filled book that shows how ontologies and other semantic techniques can be used to enhance the effectiveness of electronic search and knowledge management. The book grew out of a collaboration to provide access to a multi-disciplinary, curated set of literature regarding the effects of the media on children’s health. The result is a natural language search tool for a varied audience of educators, parents, clinicians and legislators.

The book illustrates how semantic technology can be used to enhance knowledge retrieval and management through natural language queries, dictionaries of concepts (ontologies), guided navigation, data mining, etc. Readers will gain a sense of how ontologies are currently being used and how semantic techniques could be applied in the future.

Kathy of Tessella says; “The book has been written in easy understandable language so that technical concepts are explained clearly with concepts broken down to the basics. Yet it provides a sound technical description of the semantic techniques available today.”

The book is available online on http://www.amazon.co.uk/Searching-Concept-Not-Just-Word/dp/1843343185

The advances of computer technology offer many new opportunities but also new challenges. Records stored in popular file formats today may be unreadable in the near future because of constant changes in hardware, software and media technology. One of the most important challenges is tackling the problem of digital preservation, ensuring that the digital information we create and store today will continue to be accessible for as long as we may need it.

Dr Robert Sharpe, Tessella’s head of Digital Archiving Solutions, commented: “Tessella has been working on advanced digital archiving solutions for many years, alongside some of the world’s most farsighted archiving organizations. In partnership with the UK National Archives, Tessella developed the Safety Deposit Box (SDB) to help confront the problem of digital preservation. The core SDB software has been in use at the UK National Archives for four years, and has recently been significantly enhanced as part of their Seamless Flow programme. Other users of SDB include Arkib Negara (Malaysia), the British Library, and the Schweizerisches Bundesarchiv (Swiss Federal Archives).

Bill Cheng at VersaPAC said: “Delivering a complete solution requires the archiving technology to be built into the day-to-day system within an organization. For Arkib Negara we used the Trim Context system from Tower to provide the records management component and built bespoke workflows to transfer data from Trim into the new Archive, thereby delivering a complete and seamless solution. The system was successfully rolled out in two phases during 2007.”

Mr Geoff Moore at Tower Software added: “The integration of world-leading archive technology with Tower’s records management capability is a very exciting development and one we hope many other national archives and blue-chip organizations will benefit from.”

Pn Hajah Mahfuzah binti Yusof, Managing Director of the Electronic Records And Information Technology Management, Arkib Negara concluded: “This is a crucial and exciting time for archives around the world. We need to share and build on each other’s experience in order to solve the new preservation challenges.”

Tessella, VersaPAC and Tower Software are exhibiting at the International Congress of Archiving 2008 from the July 22nd until July 26th. Yahya Abdullah of VersaPAC will be presenting the Arkib Nagara solution on July 23rd. Dr Robert Sharpe of Tessella and Mr Mark Evans of Tessella Inc will be speaking on ‘The Problems of Digital Preservation of Archives’ on July 24th.
